My Schedule Dashboards & Reports

Dashboards and reports can be scheduled for delivery by email on a daily, weekly, monthly, or other frequency bases. By default, if the report has a built-in dashboard, the dashboard will be emailed to the recipient.

To schedule a report, it must first be a favorite/saved report. The “Schedule” icon can be used to create a schedule dashboard/report. Select the relevant report and then click on “Scheduled”.

This will open the Report Scheduling Wizard. At all times, the user can cancel the process by clicking "X".

Please note that by default, reports that do not include information at all will not be sent.


Step 1: Select The Execution Object

Choose the relevant cluster/group/unit or perhaps the entire organization that will be the basis for the report.

Step 2: Select The Schedule Timing

Reports can be scheduled for delivery on a daily, weekly, or monthly basis, although other intervals can be set using the "Custom" option.

This option is a text field, known as “CRON”, which can be found on Google.

Step 3: Select The Time Span

Determine the period of the report. To put it another way, on how many days will the report run.

Detailed reports can be scheduled for up to 24 hours.

Step 4: Select The Format

By default, if the report has a built-in dashboard, the dashboard will be emailed to the recipient. If the user wishes to include the full report in the email, he should select the "Report Attached" option. When this is the case, the user should select one of the following report formats: PDF, Excel, or CSV.

Step 5: Select The Data Aggregation

The Data Aggregation determines how the data appears within the report:

  • Aggregated - Shows in one row a summary of the entire selected period

  • Daily - Each row represents a day

  • Weekly - Each row represents a week

  • Monthly - Each row represents a month

Step 6: Email Settings

Ensure that only the Galooli users who should receive the results of the report are included in the email address list. Users can add multiple email addresses. Add the email address in the text box and click “Enter”.

Users can add scheduled emails from FTP.

Users will be able to enter their FTP information including username and password to allow us to grab all email recipients' information and populate the list of email recipients directly from the FTP.

Step 7: Save Wizard

Click “Save” to complete the process. Click “X” to abort without saving.

A small green calendar icon will appear at the right of the report once it has been completed

 

Editing Scheduled Reports

Removing or editing scheduled reports can be performed from the Scheduled Reports wizard. To edit a report, click on the report from the list and then on the “Schedule” button. This will open the report wizard to make changes to the scheduling. Please note, this will only edit the scheduling of the report. To edit a report, create a new report and schedule it.

The scheduled report wizard allows you to deactivate a scheduled report.

Schedule Reports Cancellation

The scheduled report can be canceled by the system for several reasons:

  • The scheduled reports are canceled when the user who created them is deleted

  • The scheduled report will also be canceled once the unit for which it was created is deleted

  • The report will be canceled as soon as all recipients' emails have been blacklisted

How To Unsubscribe Myself From Schedule Reports?

If you wish to unsubscribe from a schedule report that is sent to you via email, simply click on the unsubscribe link in the email you get from the system

There are two possible outcomes from here:

-In the event that more than one email receives this report, clicking on the link will redirect you to a dedicated page where the email can be deleted by entering it, without the need for identification.

-In the case of only one email listed in this report, clicking on the link will remove that email from receiving the report without the need to write it.

-When additional recipients are added to a scheduled report, it will not allow saving if there are recipients who have previously unsubscribed themselves.

The asterisk next to a user's name indicates that they have requested to unsubscribe.
